AI implementation in business processes

AI implementation means bringing artificial intelligence into a specific business process so that it saves work – not buying a tool nobody then uses. We connect language models to your existing systems, run them locally on your own server where the data is sensitive, automate document processing, and assess in advance where it is worth doing at all. Consulting and analysis from CZK 1,090 per hour (about €45).

We build on what we have done for years: web application development gives us the ability to connect AI to something real, and server virtualization gives us the environment for a model to run on your premises. The model itself is the easier part – the work is in the integration, the data, and in making the result trustworthy.

Integration into your systems

The most common brief is not “we want AI” but “this is costing us too much time”. So we start from a specific process and look for where a model saves work: searching company documents where full-text search is not enough; pre-filling forms from an e-mail attachment; drafting replies to recurring questions; routing requests to the right department.

We connect to what is already running – internal applications, an e-shop, an information system, a database. Where something needs building, we do it in PHP, Laravel and Vue.js over MySQL, the same ground as the rest of our custom development. As usual with us, the source code of the integration is your property.

Local models – your data stays with you

With public services the content of a query goes to someone else’s servers, which is often a blocker for contracts, medical records or clients’ personal data. The alternative is a model running on your own hardware: nothing is sent anywhere and it works even without an internet connection.

In practice that means a server with enough memory and a graphics card, deployed and managed like the rest of your infrastructure – including backups, updates and security and access control. Local models tend to be somewhat weaker than the largest cloud ones, but for tasks such as classification, extracting values or searching documents that usually makes no difference. We will advise when the gap matters and when it does not.

Automating documents and routine admin

The place with the fastest return is usually paperwork somebody currently retypes by hand. That category includes:

  • reading invoices and delivery notes, extracting amounts, company IDs and line items,
  • sorting incoming mail and attachments by content,
  • searching your own policies, contracts and documentation,
  • transcribing calls and meetings and summarising them into minutes,
  • drafted replies to recurring customer questions.

For all of these we assume a human check. A model can prepare the groundwork, but responsibility for the result stays on your side – so we design the process to make it easy to verify where a value came from and to correct it.

Consulting and audit

If you are still weighing up where to start, it makes sense to order the consultation on its own. We go through your processes, mark the ones where the ratio of benefit to effort is best, and say what is realistic today and what is not. That includes a look at personal data protection and at the duties arising from the European AI Act – for some uses this is only a matter of informing users, elsewhere more is needed. It follows on from our IT consulting, and as there the output is a written recommendation you can work with even without us.

How we proceed

  1. Choosing the process – we look for one specific task, not a blanket rollout.
  2. Testing on a sample – we run the trial on your data, not on demo data.
  3. Decision – we show the results and the running costs. If it does not add up, we say so.
  4. Rollout – integration into your systems, access setup, training for people.
  5. Operation and oversight – we watch output quality and cost, and adjust the solution to how it is actually used.

When AI does not make sense

Not every task suits AI. Where a process has clear rules, an ordinary script or a change to an existing system is usually cheaper and more reliable – a model would only add uncertainty and cost. Nor is there any point deploying it on data that is not in order: if records are incomplete or contradict each other, AI will only reveal that faster. And for decisions with legal consequences, or where the output cannot be checked, we advise considerable caution. When we run into that, we say so directly – just as with custom development.
